Why this privacy policy?

The policy describes the types of personal information we collect, how we use that information, with whom we share it, and the rights and choices available to data subjects regarding our use of their personal information. Also described are the steps we take to protect the security of your information and how you can contact us about our privacy practices and exercising your rights.

What does this privacy policy cover?

We may collect the following types of personal information (where permitted by law): Employment history and academic qualifications; Language proficiency and other job-related skills; Social Security number, civil identification number or other government-issued identification number; Date of birth; Gender; Banking information; Citizenship and work authorization status; Criminal and other background checks; Benefits information; Tax information; Telephone contact; Information provided by references; Information contained in your Curriculum Vitae (CV), information provided regarding your career interests and other information about your qualifications for employment. In addition, we may collect information you provide about other individuals, as well as information related to emergency contacts.

Purposes of collection

We use the information described in this policy for activities related to the administration and management of the employment contract and the employment relationship between the Parties, in particular for the following purposes:

(a) the calculation and payment of remuneration, fringe benefits, other allowances and bonuses;

(b) the calculation, withholding and operations relating to deductions from remuneration, whether compulsory or optional, arising from legal provisions;

(c) the performance of non-nominal statistical operations related to the processing of wages within the processing entity;

d) Compliance with the obligations to which Novabase is subject, particularly in the context of labor, social security and tax legislation.

(e) other purposes related to personnel management.

Who is responsible for the treatment?

The controller of personal data is Novabase Neotalent SA.

Communication of data to other entities (third parties and subcontractors) and transfer of data

NOVABASE, within the scope of its activities related to the administration and management of the employment contract and the employment relationship between the parties, may communicate and/or transfer the worker’s personal data to the entities identified below, not excluding other entities not mentioned, but which have legal legitimacy to process the data in question:

a) IGFSS – Institute for Financial Management of Social Security;

b) AT – Tax Authority;

c) Banking and Insurance Institutions;

d) INE – National Institute of Statistics;

e) ACT – Authority for Working Conditions;

f) Entity in charge of carrying out the functions relating to Safety, Hygiene and Medicine at work;

(g) any other entity to which payroll and/or other human resources management functions have been assigned.

We may share your personal information with customers and/or between Novabase Group companies. Novabase will process the data entirely within the European Economic Area (EEA), and therefore does not plan to carry out any international data transfer.

What is the retention period for personal data

NOVABASE will keep personal data only for the period necessary to fulfill the purposes for which they are intended and to comply with its legal obligations, taking into account best practices and the legal obligations to which NOVABASE is subject, namely in the context of labor, social security and tax legislation.

How we use cookies

“Cookies” are small software tags that are stored on your computer through your browser, retaining only information related to your preferences and therefore not including your personal data. Like the vast majority of websites available, Novabase also uses cookie technology on its websites. Cookies collect statistical data from users and Novabase uses this information solely and exclusively to increase the speed and usability of its web pages. The cookies used by Novabase do not collect personal information from its users. They are not designed to follow you as a person or track your behavior on the internet. Data subjects’ rights

The data subject may, at any time and free of charge, exercise their rights of access, rectification or deletion of data, opposition, limitation and portability of their data, with the limits provided by law, through the email address data.privacy@neotalent.pt or by registered letter to the postal address Av. D. João II, n.º 34, 1998-031 Lisboa. When the legitimacy of the processing results solely from the consent of the data subject, the acceptance by the user that his data may be processed or transferred will always be revocable, without retroactive effects. To revoke the consent, users may contact Novabase through the email address data.privacy@neotalent.pt.

Security of personal data

Bearing in mind the great concern and commitment that Novabase shows in defending privacy issues, several technical and organizational security measures have been adopted in order to protect the personal data made available to us against its dissemination, loss, misuse, alteration, unauthorized treatment or access, as well as against any other form of illicit treatment. Novabase employees, as well as those who provide services to Novabase, undertake not to disclose to third parties or use for purposes contrary to the law any personal information of customers that they become aware of in the course of their duties. Novabase undertakes to respect the legislation on the protection of the privacy of Customer data and to process this data only for the purposes for which it was collected, as well as to ensure that this data is treated with adequate levels of security and confidentiality, under the terms of the applicable legislation and the conditions set by the CNPD.

Changes to the privacy policy

Novabase reserves the right to make adjustments or changes to this Privacy Policy at any time.
